Privacy and Data Protection Policy

At vetera.pro (owned by Grovegear Consulting S.L.), we value experience and talent, and we apply the same rigor and transparency to the processing of your personal data. This policy explains how we collect, use and protect your information, in strict compliance with Regulation (EU) 2016/679 (General Data Protection Regulation, "GDPR") and Spanish Organic Law 3/2018 on Personal Data Protection and Guarantee of Digital Rights ("LOPDGDD").

2. Purposes of Data Processing

At Vetera, we process data relating to two types of users, for different purposes:

  • Senior Talent Profiles: We collect your name, contact details, professional background and CV in order to create your profile on our platform. The main purpose is to give visibility to your experience and, after payment of the corresponding fee by an interested company, to disclose your contact details to that company so that it may initiate a professional conversation with you in relation to your experience and availability.
  • Companies and Company Representatives: We collect corporate, billing and contact details of the legal representative or relevant company contact in order to manage registration, process payments for the unlocking of senior talent contacts, and maintain the commercial and accounting relationship.

3. Legal Basis for Processing

The legal bases that allow us to process your data are:

  • Express Consent (Senior Talent): When you register and tick the acceptance checkbox, you give us your explicit consent to display your profile — anonymised or public, depending on the relevant settings — and to disclose your contact details individually to companies that pay to access your profile.
  • Performance of a Contract (Companies): For companies that pay to access contact details, the processing is necessary for the provision of the purchased service and for the corresponding billing.

4. Recipients and Data Disclosure

  • Senior Talent: Your direct contact details — such as email address, telephone number and similar contact data — will be disclosed to third-party companies registered with Vetera only when those companies have paid the corresponding fee to contact you. We will not sell or disclose your data to mass databases or to third parties unrelated to this purpose.
  • Third-party AI assistants: Vetera also makes its search available through plugins for third-party AI assistants, currently the Vetera Experts plugin for ChatGPT (OpenAI). Through that channel, companies see the same anonymised profile they would see on vetera.pro before unlocking: specialty, cases, availability, city and working mode. Names, surnames, contact details, exact employers and photos are never shown there. The assistant provider processes the conversation under its own terms and privacy policy; Vetera receives only the challenge the company describes and pseudonymous identifiers of the conversation, never the identity of the person using the assistant.
  • Legal Obligations: We may also disclose data to Public Administrations, Courts, regulatory authorities or Law Enforcement Agencies when required by law.

5. Use of Artificial Intelligence

Vetera uses artificial intelligence systems in several parts of the platform. All the AI models we use are provided by OpenAI, which acts as a data processor and does not use the data sent through its API to train its models.

  • Senior Talent: The information you provide — including your CV if you choose to upload it, your answers in the chat and the data in your profile — is processed by AI models in order to structure it and present it to companies. The competency metrics shown on your profile are generated by AI.
  • Companies: The search for professionals first applies objective filters based on the requirements you indicate. An AI system then selects and orders the profiles shown to you according to their relevance to the problem you have described. The results are an indicative proposal to help you decide, not a binding recommendation.

AI can make mistakes. No collaboration decision is made automatically: the final choice always rests with people. If you detect a significant problem, you can write to support@vetera.pro.

Searches from third-party AI assistants: a company can describe its challenge to the Vetera Experts plugin for ChatGPT without a Vetera account. In that case Vetera stores the challenge as described, together with the references of the experts shown, for 7 days, linked to pseudonymous identifiers supplied by the assistant, so that the search can be continued on vetera.pro. If the company does not save the search in a Vetera account within that period, it is deleted.

6. Data Retention

We will retain your personal data for as long as your Vetera account remains active and you do not request its deletion.

In the event of account deletion, the data will be blocked and retained only for the time strictly necessary to comply with legal, tax or accounting obligations, for example company billing data for a period of five years.

Searches started from a third-party AI assistant without a Vetera account are deleted 7 days after they are made unless the company saves them in an account.

7. Your Rights

You have full control over your data. You may exercise your rights of access, rectification, erasure, objection, restriction of processing and portability at any time.

To do so, simply send an email to info@vetera.pro with the subject line "Data Protection". If we have reasonable doubts about your identity, we may request additional information, such as a copy of your identification document, in order to prevent fraud.
